The EXMAR Group is currently looking for a Yachting Coordinator to reinforce the Exmar Shipmanagement Yachting team in Antwerp.
Your role in the team
The Yachting Coordinator is responsible for all crew-related aspects of the fleet team and ensures all vessels are manned with qualified and competent crew. Next to that, he or she coordinates the efficient and economical supply of spares, stores and services to the vessels.
The Yachting Coordinator reports to the Business Unit Director Shipping and collaborates closely with the Yachting Superintendent.
Your responsibilities and tasks include
- Coordinate crew planning by securing suitable and qualified crew members to ensure safe and competent manning levels on board the vessels, targeting high level hospitality management;
- Timely identify planning gaps and future crewing needs;
- Coordinate smooth onboarding for new and promoted staff and organize all practical arrangements for crew changes (travel, visas, local logistics,…)
- Act as first point of contact for seafarers;
- Maintain accurate crewing data and records; oversee contract administration and compliance checks;
- Coordinate crew evaluations, feedback and debriefings;
- Support fleet meetings, emergency response, and internal/external audits as required;
- Collect and compare vendor quotations, place and follow up on purchase orders and coordinate timely supply deliveries to the vessels;
- Support process improvements, monitor guidelines and contribute to budget and invoice administration.
Your profile
- Minimum 5 years’ experience in an administrative or coordination role in
- maritime crewing;
- Proven ability to manage multiple priorities and remain effective under
pressure in a dynamic environment; - Solution-oriented, proactive and able to take ownership;
- Strong interpersonal skills; able to work constructively with both crew and
shore-based colleagues; - Flexible and resilient, willing to adapt quickly and handle peaks of workload;
- Good knowledge of Excel, Word and PowerPoint;
- Fluent in English and Dutch (spoken and written), French is a plus.
