The EXMAR Group is currently looking for a Crew Wages & Administration Assistant to reinforce the Shipmanagement team in Antwerp, HQ.
Your role in the team
As a Crew Wages & Administration Assistant, you will support the Crew Wages & Administration team by managing a broad range of administrative tasks. This role is responsible for the accurate and timely processing of crew-related compensation & benefits documentation, maintaining up-to-date crew data, and coordinating mail to and from vessels worldwide.
Key Responsibilities:
- Support the administration of crew extra-legal and hospitalization insurance matters, including registrations, updates, and claims documentation.
- Coordinate and dispatch physical documentation and mail to vessels, considering vessel location and port schedules.
- Enter crew details accurately into internal systems and maintain up-to-date records.
- Manage and track mandatory crew certificates, ensuring all documents are current and properly filed.
- Carry out administrative preparations to support monthly payroll processing.
- Perform various administrative tasks to support the Crewing Wages & Administration Team, in compliance with maritime regulations and internal procedures.
Requirements:
- You have a strong interest in administrative work and enjoy supporting processes behind the scenes.
- You have previous experience in an administrative role, ideally in a dynamic or operational environment.
- You are fluent in Dutch and English, both written and spoken; basic knowledge of French is a plus, but not required.
- You are flexible and can adapt quickly to changing priorities and operational circumstances.
- You are precise, organized, and able to manage multiple administrative tasks simultaneously.
- You are available for a full-time position; 4/5 can be considered.
